THIS REPORT CONTAINS THE SUGGESTIONS THAT WERE RENDERED BY AMERICAN UNIVERSITY'S CRIMINAL COURTS TECHNICAL ASSISTANCE PROJECT ON AUTOMATING AND MODERNIZING THE CITY CLERK'S RECORDS IN TEXARKANA.
Abstract
THE CITY CLERK'S DOCKET BOOKS, KEPT SINCE 1881, HAD BEEN CREATING SPACE PROBLEMS, AND RETRIEVAL OF INFORMATION FROM THEM WAS NOT EFFICIENT AND OCCUPIED A SIGNIFICANT AMOUNT OF PERSONNEL TIME. THE CITY CLERK MAINTAINS ALL RECORDS ON TRAFFIC AND CRIMINAL CASES, MORE THAN 13,000 FILED IN 1976. THE REPORT RECOMMENDS THE RETAINING OF AN OUTSIDE SERVICE BUREAU TO MICROFILM ALL RECORDS, CONRACTING WITH AN OUTSIDE FIRM TO MICROFILM DOCKET BOOKS AND TRAFFIC CITATION RECORDS ON AN AS NEEDED BASIS, AND PURCHASING A MICROFILM READER/PRINTER AND ASSOCIATED SUPPLIES FOR THE CLERK'S OFFICE. THE REPORT ALSO RECOMMENDED AGAINST LEASING PERIPHERAL EQUIPMENT FOR COMPUTERIZED INDEXING, A DETAILED REVIEW OF RECORD KEEPING PROCEDURES BE FUNDED, AND REQUESTING FUNDING FOR AN ADDITIONAL ONE YEAR POSITION WITHIN THE CITY CLERK'S OFFICE....BDS
