REPORT ON A TECHNICAL ASSISTANCE STUDY OF THE GRAPEVINE (TX) POLICE DEPARTMENT'S FILING SYSTEM TO RECOMMEND REVISIONS AND ASSIST IN IMPLEMENTING THEM.
Abstract
DURING HIS TWO DAYS OF ON SITE CONSULTATION IN JUNE 1973, THE CONSULTANT NOTED SEVERAL DEFICIENCIES IN THE SYSTEM INCLUDING FAILURE TO APPOINT MAINTAINING DEPARTMENT RECORDS TO A SPECIFIC PERSON, MAINTAINING QUESTIONABLE OR UNNECESSARY FILES, AND MAINTAINING DUPLICATE FILES. AMONG RECOMMENDATIONS MADE ARE CREATING LEGISLATION REQUIRING POLICE ANNUAL STATISTICAL REPORTS, REPLACING THE RADIO LOG WITH A DAILY ACTIVITY RECORD, ADOPTION OF A FIELD INFORMATION REPORT FORM, MAINTAINING INDEXES FOR EASY RETRIEVAL, AND APPOINTING AN INDIVIDUAL TO MAINTAIN THE FILES AND MONITOR CHECK-OUTS. SAMPLES OF ALL PROPOSED FORMS ARE INCLUDED. AN APPENDIX CONTAINS A LIST OF GUIDELINES FOR NEWS RELEASES.
